2. Data, purposes and legal basis

When you visit our website

We process technical information about your device and use of the website in order to operate and secure it.

With your consent, we also use cookies and similar technologies for analytics and marketing. You can change or withdraw your consent at any time through the cookie settings.

When you contact us

When you contact us by email, telephone, form or chat, we process the information you provide, such as your name, company, email address, telephone number and the content of your enquiry.

We use the information to respond to your enquiry, follow up on your interest, prepare quotations and enter into or manage a customer relationship.

The processing is based on our legitimate interest in communicating with customers, potential customers and business partners or, where relevant, on the need to enter into or perform a contract.

Trial accounts, customers and support

When you request a ShopWired trial account or become a customer, we process relevant contact, account, contract and support information.

The necessary information is disclosed to the UK-based provider of the ShopWired platform for the purpose of creating and administering the account.

As part of onboarding and support, we may, by agreement, access the customer’s ShopWired account. Where we process personal data on behalf of the customer and in accordance with the customer’s instructions, we act as a processor or sub-processor under the relevant data processing agreement.

Newsletters

When you subscribe to our newsletter, we process your contact details in order to send you news and marketing communications.

The processing is based on your consent. You can unsubscribe at any time using the link in the newsletter or by contacting us.

3. Recipients

We may disclose or make personal data available to relevant categories of recipients, including:

• the provider of the ShopWired platform
• providers of analytics, marketing, CRM, chat and newsletter services
• providers of hosting, email, security and other IT services
• professional advisers and public authorities where necessary or legally required

Providers that process personal data on our behalf may only do so in accordance with our instructions and under a data processing agreement.

4. Transfers outside the EU/EEA

Some of our providers or their sub-processors may process personal data in the United Kingdom, the United States or other countries outside the EU/EEA.

Such transfers are made on the basis of a valid transfer mechanism, such as an adequacy decision, the European Commission’s Standard Contractual Clauses or another approved transfer mechanism.

5. Retention

We retain personal data only for as long as necessary for the purpose for which it was collected.

Enquiries and information relating to potential customers are normally deleted or anonymised no later than 12 months after the most recent relevant contact, unless the dialogue remains active.

Customer information is retained for the duration of the customer relationship and afterwards for as long as necessary to document agreements, handle potential claims or comply with legal obligations.

Accounting records are retained for the period required by law.

Newsletter information is retained until you unsubscribe. Documentation of consent and withdrawal may be retained for as long as necessary to demonstrate compliance with applicable requirements.

Depending on the circumstances, you have the right to:

• have inaccurate information corrected
• have information deleted or processing restricted
• object to processing based on legitimate interests
• receive certain information in a structured format
